Overview
CU employees have legal obligations to maintain and/or make available electronic information in the event of litigation, subpoena, court order, open records request, or other legal requests. If faculty or staff members determine that use of the CU Boulder email service interferes with their ability to pursue their academic or research activities then they will need to certify, through the Office of Information Security (OIS), that e-discovery requirements are met. This outlines that process.
Some organizations' domains, such as national labs, institutes or other campuses, have been approved to serve as one's email delivery location. If you wish to forward your email to a domain that is not on the approved list of domains, you should follow these steps to request that your email be forwarded to a third-party provider:
- Review Chancellor DiStefano’s E-memo regarding Records Retention and the Records Retention Policy.
- If you feel that using any CU email account is unacceptable in fulfilling your academic or research duties, please contact your director or department chair.
- If after discussing the problem with your director or department chair you both feel that using a CU email account is unacceptable in fulfilling your academic or research duties, then the certificate of receipt should be filled out with signatures from you and your director or department chair, and sent, via campus mail to the Office of Information Security (OIS), 455 UCB, faxed to (303) 735-5036, or emailed to oithelp@colorado.edu.
- Within two business days of receiving your request, OIT will direct any email that is sent to your @colorado.edu account to the third-party address you specify and contact you when this has been accomplished. If you do not hear from us within two business days, please contact the IT Service Center at oithelp@colorado.edu or 303-735-4357.
